  • Your name, email address, phone number, date of birth and health information when you book an appointment through our online booking system Jane Software Inc. (Jane App).

The Personal Data We Process And What We Do With It

We record and use the following personal data: name, company name, address, telephone numbers, email address, date of birth and General Practitioner. Additionally, we record and use health information including past and present medical history, diagnosis, and treatment particulars. We may also record employment details and family, lifestyle and social circumstances. Information will be held both manually and electronically.


How we use your information

We use your personal information for the following purposes:

  • To respond to enquiries you submit through our contact form.

  • To process and manage appointment bookings made through our online booking system.

  • To provide you with chiropractic care and sports therapy treatment.

  • To send you appointment reminders and follow-up communications related to your care.

  • To improve our website and understand how it is used.

  • To comply with legal and regulatory obligations.

Health data

As a healthcare provider, we may collect and process special category data, including information about your physical health. Health data collected through the booking system is stored and managed by Jane App (see Third-Party Services below). Clinical records maintained at the clinic are kept securely in accordance with GCC and ICO guidance.

Chiropractors must maintain records about patients for eight years from a patient’s last visit. If the patient is a child, records must be kept until their 25th birthday or 26th birthday if aged 17 at the end of treatment.


Third-party services

We use the following third-party services that may process your personal data:

Jane Software Inc. (Online Booking System)

Our online appointment booking is provided by Jane App. When you book an appointment, your personal and health information is processed and stored by Jane in accordance with their privacy policy. Jane stores data on servers located in Canada. Jane is compliant with PIPEDA (Canadian privacy law) and has measures in place to protect personal data transferred internationally.

Framer (Website Hosting)

Our website is hosted by Framer B.V. Framer may collect technical data such as IP addresses and usage statistics. Framer’s privacy policy: https://www.framer.com/legal/privacy

Google (Analytics and Maps)

How long we keep your data

We retain your personal data only for as long as necessary for the purposes described above:

  • Appointment and booking data: retained by Jane in accordance with their data retention policy and our clinical record-keeping obligations.

  • Clinical records: retained for a minimum of 8 years from the date of last treatment (or longer where required, for example for patients treated as minors).

  • Website analytics data: retained for a maximum of 26 months (if Google Analytics is used).


Your rights

Under UK GDPR, you have the following rights:

  • The right to access the personal data we hold about you.

  • The right to ask us to correct inaccurate data.

  • The right to ask us to delete your data (subject to our legal obligations to retain clinical records).

  • The right to restrict or object to how we process your data.

Complaints Procedure

At Littleover Chiropractic Clinic, we are committed to providing the highest standard of care. If something has not met your expectations, we want to know about it so we can put it right.


How to raise a concern

If you have a concern or complaint about any aspect of your care or experience at the clinic, we encourage you to speak with your chiropractor in the first instance, where appropriate. Many concerns can be resolved quickly through an open discussion.

If you do not feel comfortable speaking directly with your chiropractor, or your concern has not been resolved, you can contact us directly:

We aim to acknowledge all complaints within 3 working days and to provide a full response within 20 working days. If your complaint is complex and requires more time, we will let you know and keep you updated.


What happens next

All complaints are treated seriously, handled confidentially and investigated thoroughly. In line with our Duty of Candour, if something has gone wrong with your care, we will be open and honest with you. We will listen to your concerns, look into what happened, and explain our findings to you clearly. We will apologise where appropriate, answer any questions you may have and take steps to prevent the same issue from happening again.

If you feel your complaint has not been resolved to your satisfaction, you have the right to escalate it to the following organisations:


General Chiropractic Council (GCC)

The GCC is the statutory regulator for chiropractors in the UK. If your complaint relates to the professional conduct, competence or health of a chiropractor, you can contact the GCC directly.

British Chiropractic Association (BCA)

If your practitioner is a member of the BCA, you can also raise concerns through their complaints process.
